🗺️ Job Page Layout
Let's break down your job page into 5 bite-sized, easy-to-digest sections, each packing its own punch and serving up exactly what you need, when you need it. Here's what we've got:
1️⃣ Job Header: Think of this as your project's search-friendly label, equipped with options to make your job a breeze to find within the vast Streamtime universe.
2️⃣ Job Summary (a.k.a the Jumbotron ): Your own personal scoreboard, beaming out all the crucial job details you need to keep track of.
3️⃣ Highlights Area: Officially named thus, but also known as the Job Activity Log amongst Streamtime pros. Consider this your constantly updated bulletin on all things related to your job. 📖
4️⃣ Job Plan: Here's where your project comes to life. This is the command centre for planning your job.
5️⃣ Timeline: For those who love visual planning, this is your interactive roadmap for viewing and organizing your job.
🪧 Job Header
Ready to understand the magical duet that makes up your Job Header? Just two parts - the Job Title and Labels, but boy, do they pack a punch when it comes to finding your job in the vast Streamtime universe. And guess what? Those Labels can be your secret weapon for powerful reporting and organisation!
Right under the Title is where you can add in your Labels. Feel free to add, edit, or remove a label at will.
📄 Job Summary: Overview
When a job is in full swing, you’re often keeping track of multiple things at once, so the job summary area's goal is to keep you across everything important.
Your key figures such as your Budget, your Total Used / Planned values, and Profit Margin calculations sit on the left hand side so you can see how you’re going straight away.
You can also set your job lead here, and see your Team on the job. We display the most active team members assigned to the job: the first profile picture you see is the person who's logged the most time on the job. No one's logged time yet? We'll show the team in ascending planned time order.
🚀 Job Progress Bars
For the details that make up the job, we showcase progress bars to help you track your time, expenses, quotes and invoices. Here’s what they show you:
Time (H) How much time is logged vs how much is planned across the job as a whole. The tooltip gives you a breakdown of this per team member.
Time ($) We also show your time progress in financial terms. If you’re pricing per hour at the same rate, your hours and financial view of time could be the same. However, if you use different pricing methods, or team members log time at different sell rates — for example, you’ve got a senior and a junior working on the same item — then you might eat into your planned time sell figure at a different rate than your planned hours.
Scheduled When you plan time, you’ll see how much of your job still needs to be put into the Schedule. Plans shift, so planning time in Streamtime doesn’t automatically create To Dos. Knowing how much is left to schedule of your job is key to knowing how far through you are, and similarly, knowing if you’ve scheduled more hours than you planned for. This section will also show you any hours that have been assigned to a role but not aperson.
Expenses are third party costs on the job. Expense statuses help denote what’s used vs planned from an expenses point of view. Draft expenses represent a plan for what is to be spent, anything approved or paid is classed as used. This bar shows how much of your planned expenses are used.
Quotes After you plan, you’ll send quotes out to your clients. This bar tracks how much has been approved from what’s sent, and how much still pending client approval. As your quotes are approved, they’ll add to your job budget.
Invoiced You want to make sure you’re getting paid fairly and on time for your work, so keeping track of your invoices on a project is really important. This bar shows what’s paid, awaiting payment, and in draft.
You can change your view from used cost or used sell using the Cost / Sell toggle. The difference here is for the first part of your used/planned comparison figures.
The Sell option shows how much of the sell value you've burnt through from time spent or expenses
The Cost option shows how much cost has been incurred from time spent or expenses
You’ll always be viewing this against Planned Sell.
🔥 Job Summary: Burnup Tab
Head over to the Burnup chart if you’re more of a graphs kind of person. The burnup tab will show how your job is tracking against the plan. In the Used/Planned (H) setting:
The grey area represents the planned hours
Blue area shows how much has been logged.
Dotted line shows scheduled time that hasn’t yet been logged.
If the blue goes over the grey, that’s when you’ve logged more hours than you have planned (uh oh!). Similarly you can view this chart in Used / Planned ($) or Used Cost / Planned ($).
⚙️ Job Summary: Settings tab
View all the nitty gritty details of the job in the settings tab. This is where you can change the settings you initially set up when creating the job, including Rate Card, Branch, Exchange Rates, Job Number and PO Number.
🔆 Highlights Panel
Over here on the highlights panel, we can see key dates on the dates tab. See invoice issue dates, item start and end dates, and milestones. Filter what you see on or off.
Clicking an item will take you to the corresponding item on the job plan, clicking a milestone will take you to the milestone on the timeline view, and clicking an invoice date will open the corresponding invoice.
Next to Dates is the Activity. All key actions on the job get logged here. If you’ve got Collaboration activated, you can comment or create posts which can house a brief, or latest updates on the job.
Open your list of Repeating To Do's by clicking the icon on the top right of your Highlights panel. Read more about Repeating To Do's
The Highlights Panel is essential for collaboration and keeping your team on track. Find out more about this awesome panel here.
📂 Items & Phases in the Job Plan
You can see items here priced in three different ways: per item, per person, and fixed price. Items are pieces of your job that you can group together in Phases. Each of these methods is useful for different reasons, and most Streamtime customers use varied combinations for their projects. Learn more about item pricing here.
You will be able to assign items to people straight away or to a role.
💡 Pro tip: Set up frequently used items in your Settings area, so you can quickly build your jobs with the right information and pricing. Get your Streamtime set up quickly
You can select whether an item is billable or non-billable. You’ll plan and price non-billable items in the same three core methods, but their sell values won’t be included in the job totals.
📅 Timeline
You can switch to the timeline view from the table view easily. If you haven’t set dates on your items when you created them, you can set them up your item dates all once by simply painting in the time period.
Connect dates on the timeline using dependencies: linking items together will allow you to move the entire timeline at once when things change. You can set either fixed or minimum dependencies. Find out more about dependencies here.
🙌 Setting dates on your plan is super important. When item dates are set, reporting in the rest of Streamtime is a lot more accurate. Dates not yet set in stone? That's when dependencies will help! Connect your items so you can move your whole timeline at once.
⚡️ How to Jump to the Schedule
Once you’ve set your dates and your plan up, you can jump over to the schedule view of the job and create some To Dos. On some projects, you might do this straight away.
On others, it might be a while before you want to lock in the time for the studio, so you might leave it till the quote has been signed off, or a workshop or kickoff meeting has been had.
💡 Handy tips & tricks
Some handy tips and tricks to get your house in order.
Insert an item or phase into the job plan at any point — by hovering over the left hand side, activating the menu, and deciding which item to add.
Reorder items and phases using the drag handles on the left, or use the mini modal on the right hand side to move things around across the whole plan more quickly.
Duplicate items or whole phases, and change details, to make things quicker.
Keyboard shortcuts help speed up your workflow: press shift-? anywhere in Streamtime to bring up all the available shortcuts including creating new items, expenses, quotes and invoices quickly, or navigating to the lists on the job. 📖 Read more about keyboard shortcuts here.
Not-so-secret tip: Hold down option when you’re expanding and collapsing phases and items to expand and collapse your entire plan at once.
