Repeating To Dos

How to create a repeating task in Streamtime

Do you have tasks that keep coming back, like that weekly client catch-up, or monthly progress report? Our Repeating To Dos feature is here to help save you time in setting these up! This article will guide you through the process of creating, editing, and managing repeating tasks.

βž• Creating a Repeating To Do


You can create a repeating To Do from any of these screens:

πŸ“Œ To Do Screen

Create a new To Do by clicking Add New and then selecting Repeat.

πŸ’Ό Job Screen

Create it directly from the Job's Create menu.

πŸ“† Schedule Screen

Create it directly from the 3-dot menu on the Schedule.

No matter which screen you choose, creating a repeating To Do is simple! Just follow these steps:

  1. Give your To Do a title.

  2. Add team members individually or use branches and labels to assign multiple members at once.

  3. Set up how often you'd like the To Do to repeat. You can select between working day, weekly, monthly, quarterly. You can also select whether you'd like this to never end, end after a certain number of instances, or a specific end date.

    Note that for working day, as this can differ between team members, you aren't able to select a certain number of instances.
    ​

  4. Pick the job and item its connected to, or click Personal. Once done, click Create.
    ​

Your repeating To Dos will be created in batches at a time, so they may not appear immediately β€” not to worry! They'll slowly come in one by one. Streamtime does this in the background so that you can continue your work, unencumbered by waiting.

✍️ Editing a Repeating To Do


Need to tweak a repeating task? No worries! Keep in mind that actions like logging a To Do, dragging it across multiple days, resizing, moving, or re-assigning might cause the To Do to break away from the repeating series.

To edit your Repeating To Do click the πŸ” symbol on the Job Activity Log in the job screen for your Repeating To Do. You can also open any instance of the Repeating To Do and click the πŸ” button and this will take you to the Repeating version, ready to edit.

Select your Repeating To Do, make your edits and hit Save. Again, Streamtime will whirr away in the background making your updates to all the instances of your To Do, bit by bit.

‼️ Important Considerations


πŸ” Future Date Syncs

To keep Streamtime running like a well-oiled machine, for those Repeating To Dos without an end date, we don't sync forever into the future (that'd kind of break the app!)

Depending on the frequency of your Repeating To Do, Streamtime will keep it synced in advance a set number of days. As time moves forward, we'll make sure to create To Dos in advance of 'today' so that you're always ahead of the game.

  • For working day repeats, To Dos will be created 30 days in advance.

  • For weekly and fortnightly repeats, To Dos will be created 90 days in advance.

  • For monthly, quarterly and yearly repeats, To Dos will be created 365 days in advance.

A Repeating To Do without an end date will display the date it's synced to at the bottom of the Repeat modal.

πŸ–¨οΈ Duplicating Jobs

Heads up! Duplicating a job won't copy its repeating To Dos. Keep this in mind when creating new jobs with similar tasks.

When you move or delete a repeating task, Streamtime gives you a gentle reminder that it's part of a recurring series πŸ”„. This helps you avoid accidentally messing up the sequence.
