Our flexible invoicing system is designed to adapt to your preferred methods, making it straightforward to create and send invoices that suit your unique business style.
β Creating an invoice
In Streamtime, there are different methods for creating an invoice, offering flexibility to fit your needs.
Head to the job you want to invoice and click "Invoice" from the Create menu in the top right of the job.
By Job Plan or Quote
These options are best when you have a fixed price for the work.
Job Plan will reflect what actually happened on the job, while Quote reflects what you agreed with the client in advance.
If you've issued multiple quotes, you'll be able to choose the relevant one from the dropdown.
You'll see your job plan laid out with all its phases and line items.
Next to each phase or line item, you'll find two columns and a checkbox:
The first column lets you set a percentage of the phase or line item to be invoiced.
The second column allows you to adjust the amount to be invoiced for each line item or phase.
The checkbox indicates whether the phase or line item will be included in the invoice.
From Time and Expenses
This method gathers all the time entries and expenses logged on a job and organises them into an invoice.
On the next screen, you'll be able to select the date range and grouping preference.
For example, grouping by Item Name will allow you to see the breakdown based on the specific deliverables for this project.
You can expand any of the groups to see what's included.
The invoice wizard
At the bottom of the page, you'll find a convenient summary that displays the total amount invoiced thus far, as well as the overall quote total. On the opposite side, you'll see the total amount for this specific invoice and the remaining balance after its creation.
Using the same method of invoicing each time means that this invoice wizard will update automatically each time, so you know exactly how much has been invoiced and how much is left to invoice without leaving this screen.

When everything's set up as you'd like, hit the blue Create invoice button, and you'll be taken to the invoice edit screen.
From scratch
Of course, you can always create a completely custom invoice! Simply click on "... or create a blank invoice," and you'll be taken directly to the invoice edit screen.

π¬ Sending your invoice
The Preview and Send screen is where you'll see your invoice exactly as your client will, and you'll notice the three tabs on the right sidebar have changed.
Send Invoice
You can send your invoice directly to your client from Streamtime. Add a recipient from your contacts or by entering an email address. Personalise your message and attach a PDF to your email, then hit Send.

If you'd prefer to send your invoice externally, simply hit the download button on the black bar at the top.
Style
You have the power to modify your invoice's look and feel.
History
Here, you'll see essential events like the invoice being sent, paid, and edited. It even displays who executed those actions and when they were completed.

If you need multiple invoices, it's easy to handle from the Create Invoice screen.
Creating multiple invoices in advance
Click the βAdd Invoice Button
Modify the percentages or amounts for each invoice
Adjust the dates for each invoice, allowing you to future-date invoices
Click the Create (number of invoices) Invoices β your invoices are now crafted as drafts
Note that as you are creating these invoices in advance, this option is only available for the Job Plan or Quote invoicing methods.
Creating additional invoices
When an invoice has already been created against a project, using the same invoicing method will allow you to easily see what's already been invoiced and what's remaining.
The invoice wizard will automatically run the calculations for you and show this in the summary at the bottom of the page.
Line item percentages
If at any time you start invoicing by line item percentage, then the template will show the previously invoiced information against the line item. It will divide any instalment and add it to the line item figures, but this may cause rounding issues. This is only for display on the invoice, so it wonβt affect the invoice total itself or any integrations.
The invoice wizard will also let you know if you're trying to invoice more than the remaining balance.
Displaying items that are fully invoiced
If you want to include items on the invoice that do not have a value in the current invoice, simply make sure the 'Include $0 items on this invoice' is checked.
π° Payments and previous invoice summary
To keep things transparent with your client, you can enable the Payment Summary and Previous Invoice Summary from the Display tab in your invoice. It's a helpful way to keep things in one place and avoid any confusion.
βΊοΈ Recording a payment
Once your invoice has been sent, you'll see the Record Payment button. You'll be able to update the Payment Date, Amount, and add a reference.

Now that you've crafted all these fantastic invoices, let's discuss how to find them in Streamtime later on!
Search
Use the Global search by clicking the π icon in your Menu (or use the shortcut CMD/CTRL + K).
Make sure you have the toggle for Invoices enabled, and search by invoice name or number. Don't forget to turn on the checkbox for "include archived" if you're searching for an invoice on a job that has been archived.
Invoice list view
Head to Menu β Jobs β Invoices to see a list of all your invoices.
You can use the filters to dig deeper into specific ones, and save helpful views for one-click access next time.
Job Screen
Invoices are also available on the Job itself by clicking on the Invoice progress bar. By default, voided invoices will be excluded.
You can adjust the columns and filters anytime.
