Create and customise Quotes, send them to clients for approval, and automatically create budgets.
🧑🏽🎨 Create your quote from your job plan
When you're ready to create a Quote, head to the Create menu and click Quote.
The Quote wizard allows you to select which Items and Expenses you'd like to pull through from your job plan.
Feel free to tweak the numbers that'll reflect on the Quote (your job plan will stay the same).
Once you're happy with what you want to include, either click:
Continue to Settings - if you want to adjust the level of detail
Create and Edit - if you're ready to jump straight into the Quote
⚙️ Quote settings
Here, you'll be able to define the level of detail required for this Quote.
The settings you choose will be saved for next time.
As you turn options on and off, you'll see a preview of your quote content on the left. Once you're happy with the hierarchy of the content on your quote, click Create and edit.
Role summary
Enabling the Role Summary tickbox provides clients with a breakdown of estimated team hours by role, in the below format:
Producer: 15 hours @ £150.00
Production Director: 15 hours @ £100.00
📝 Customising your Quote
Once you've created a quote, think of it as a snapshot of your job plan.
You can edit the details to suit what your client needs to see, without changing the internal job setup. You can also change the look and feel of your quote to reflect your brand.
📤 Sending your quote
The Preview and Send screen is where you'll see your quote exactly as your client will, and you'll notice the three tabs on the right sidebar have changed.
Sending via Streamtime
You can send your quote directly to your client from Streamtime:
Enter your client’s email address
Adjust the pre-filled subject line if needed
Click Send to deliver the quote directly from Streamtime
A history of all quote activity will appear in the right-hand sidebar.
Sending externally
If you'd prefer to send your invoice externally, simply hit the download button on the black bar at the top.
Digital signature
There’s no standard requirement to include names, dates or signatures on quotes, so the acceptance options in Streamtime are there for teams who find them useful, designed to work alongside your existing approval process.
You can enable this feature from the Quote Settings (make sure your Quote is in Edit mode, then turn on the checkbox for Quote Acceptance).
When downloaded, the Quote Acceptance fields can be completed using PDF editors. You can also set up integrations with e-signature (for example, using Zapier) to help automate this step.
Quote approval
If sent via Streamtime, your client will be able to approve or decline the quote themselves.
If you've sent the quote externally or need to manually approve the quote, you can do this from the ⋮ three-dot menu in the top right of the quote page.
Once approved, the quoted amount becomes the job’s budget.
Client PO number
You can manually add a client PO number from the Job Settings, or your client can add one when they approve the quote by clicking 'Add PO Number.'
Quote Statuses
Once a quote is created in Streamtime, it will move through several statuses, helping you track its progress:
Draft: You are still editing your Quote and it has not yet been sent to your client
Pending: You've sent the Quote to your client (or marked it as sent) and are awaiting a response
Approved: The Quote has been approved by the client or updated manually
Declined: The Quote has been declined by the client or updated manually
