How to report on your job from the Job Page

The Job Page is your source of truth. It houses Items, To-Dos, Expenses, POs and all their associated commercial documents. Streamtime gives you the ability to filter, sort and view all of this essential job data by different groupings and report on them within their dedicated tables. This is designed to help you manage internal and external expenses more effectively and assess your job’s progress with less hassle.

Job Page List Views

To open the list views within the Job Page, use the keyboard shortcuts (Shift + U, S, E, Q, I) or click any of the progress bars within the Jumbotron. When opening these views for the first time, you’ll notice that each has its own default set of filters and columns. You can clear these filters by clicking the X at the top, then add more filters, grouping options, and columns - just as you would in the full list views - to customise your display. Your preferences will be saved so that every time you open a new job, you’ll see things the way you’ve set them up.

💡Note: Only certain columns (those that total numerical values or use a common currency) will appear in grouped rows.

Now, let’s take a look at each individual list view option, along with recommended setup and example use cases.

Logged Time List Views & Filters

Click on the Time (H) or Time ($) progress bars (or use the Shift + U keyboard shortcut) to open the logged time overlay. By default, the logged time filter will be applied, allowing you to focus on what’s been completed on the job.

When setting up your desired view, select from the available list of columns and groupings, then apply the necessary filters to build a custom list view of all logged time.

🤑 Pro Tip: Apply Team Member and Date filters to the Logged Time list, grouped by Phase with the additional Invoiced column to gauge what was complete and invoiced against the key members of the project.

Once your view is set up, use the three-dot menu on To-Dos to Reassign, Unlog or Delete specific To-Dos.

Scheduled Time List Views & Filters

Click the Scheduled progress bar (or use Shift + S) to open the scheduled time overlay. Alternatively, apply a To-Do Status filter to the logged time view above to display both Logged and Scheduled time on one page.

Once your view is set up, use the three-dot menu on To-Dos to Reassign, Log or Delete specific To-Dos.

Expenses/PO’s List Views & Filters

Click the Expenses progress bar (or use Shift + E) to open the Expenses list overlay. If your business manages a significant percentage of third-party costs within Jobs, the Expenses list customisation options allow you to sort through large numbers of Expenses or POs and take action straight away.

As with other list views, select your grouping options and columns, then apply the desired filters for deeper expense investigation.

Once your view is set up, use the three-dot menu on Expenses to Change Status, Send to Accounting, Duplicate or Delete.

Quotes List Views & Filters

Click the Quotes progress bar (or use Shift + Q) to open the Quotes list overlay. For larger or longer projects, you may have multiple Quotes or Variations to Scope that need to be reported on. The Quotes list within the job allows you to manage and review these effectively.

📢 Pro Tip: Apply the Amount Invoiced % filter to the Quotes list with the additional Invoiced % column to view whats been invoiced against the quotes on the job.

Once your view is set up, use the three-dot menu on Quotes to Change Status, Duplicate, Download, Star, Create an Invoice or Delete.

Invoices List Views & Filters

Click the Invoices progress bar (or use Shift + I) to open the Invoices list overlay. Whether you have a set invoicing schedule or invoice ad hoc based on the job’s completion rate, the Invoices list view enables you to analyse all invoice data and plan ahead confidently.

🚨Pro Tip: Catch unpaid overdue invoices by applying the Invoice Status, Viewed and a Due Date filter and follow up with the client immediately.

Once your view is set up, use the three-dot menu on Invoices to Record Payment; Create Credit Note; Send Changes to/Refresh from Xero; Duplicate; Download; Star or Void/Delete.
