If a team member is leaving for new opportunities or taking a sabbatical, there's no need to fret. This detailed article guides you through the smooth and efficient offboarding process in Streamtime, making for a seamless transition for the rest of your team.

If you need assistance with this process, feel free to reach out to us, and we'll be more than happy to help! ๐ค๐ผ
๐ฆนโโ๏ธ Are they a Super User?

โก๏ธ Reallocating Tasks

๐ What happens to their time entries?
You can be confident that all logged time will remain unaltered, preserving the integrity of your records and enabling you to generate reliable reports going forward. This way, your historical data remains an accurate resource for both reference and analysis.
๐ Priority boards
Before their departure, have the exiting team member review any Priority boards they own but have only shared with view-only access. If these boards are integral to other team members' workflow, consider transferring edit rights to another individual to maintain seamless operations.
To grant edit access to a priority board, click the gear icon โ๏ธ in the top right corner to open settings. Then, click the pencil icon โ๏ธ next to "Shared with," click Add User, choose a team member, and change their permissions to Can Edit.
If edit access isn't updated, there's no cause for concern. You can simply duplicate the board and carry on with the new version, granting the required permissions to the relevant team members. This ensures that your team's workflow remains uninterrupted and efficient.
To replicate a priority board, click the ellipsis (โฆ) on the priority board and select Duplicate ๐.

โDelete or Hibernate?
Before proceeding, it's essential to determine whether you should delete or hibernate the team member's account.
๐๏ธ Delete: If the team member is permanently leaving your organisation, deleting their account is the most suitable option.
๐ Hibernate: If there's a possibility that the team member might return in the future, consider hibernating their account instead. This will temporarily deactivate the account while preserving its data, making it easier to reactivate when needed.
๐๏ธ Deleting their Account.
Head to the โ๏ธ menu and click Team Members option under the Account Settings heading. Click on Team Members to view your current team roster. Locate the team member you wish to remove, then click on the โฎ (three-dot) icon next to their name. Click ๐๏ธ Delete to initiate the removal process.
โ ๏ธ Remember, deleting a team member's account is irreversible. To confirm the action, click Delete once more.
And that's it! You've successfully removed the team member from your Streamtime account.
๐ Hibernating a Team Member
Head to the โ๏ธ menu and click Team Members option under the Account Settings heading. Locate the team member you wish to hibernate, then click on the โฎ (three-dot) icon next to their name. Click ๐ Hibernate to initiate the process. By choosing to hibernate the account, you're temporarily deactivating it while preserving its data, making it easier to reactivate in the future if needed. ๐๐

๐ณ How am I Billed Afterwards?
How you are billed after deleting or hibernating a team member depends on your billing method:
๐ธ Billed Per Seat: If you are billed by seat, then your monthly fee will adjust depending on whether you deleted, hibernated, or re-activated a team member. As a result, removing or hibernating a team member will reduce your monthly fee, whilst reactivating a team member will increase it.
๐น Fixed-Price: There will be no change to your billing if you're on a fixed-price plan. However, if your business has undergone significant changes, please feel free to contact our customer success team to explore your options and discuss any potential adjustments.
By understanding your billing method, you can make informed decisions when managing team members and ensure that your costs align with your organisation's needs. ๐ผ๐ฐ
