Define roles to set billable rates and organise your team

Understanding roles


Roles are what your team member does in the company and have an associated billable rate. Make sure your team member has a role so you can include them on your Rate Cards. For example, Designer, Account Manager, or Project Manager are typical roles.

When you plan by role, you are mapping tasks to the skills needed, leaving you the flexibility to assign specific team members later.

How to create roles


Creating roles is easy. Either follow the short video or the written steps below.

Open master settings

First, head to Settings, then click Roles under Master Settings.

Click create

In the top right corner, hit that Create button.

➕ Click Create

Select the role

Select Role from the list of options.

Name the role

A new role will appear in your list. Give it a name—like Designer, Account Manager, or Project Manager.

Set the billable rate

For each of your Rate Cards, enter the billable rate for this role.

💰 Set the Billable Rate

Roles are now ready for use across your account.

Updating a team member's role


When you add a new team member, you'll be asked to assign them a role. But if you ever need to change it, say they’ve been promoted, here’s how to do it.

Go to the team members profile

First, let’s head to the team member's profile. You’ll find this in Settings > Account Settings > Team Members and choose the relevant team member.

Update their role

In the Role section, choose their new role. You might also want to update their cost rate if their pay has changed.

Their role is now updated in Streamtime.

ℹ️ Any work already assigned to and logged against the individual will still reflect their old billable rate. The new rate will apply only to work planned and logged from now on.

Assigning roles to items


Assigning a role to an item lets you plan jobs based on the required skills rather than a specific person. This allows you to plan out your project and estimate the necessary work before you know exactly who will be available.

In the item’s details section, click on Team Member

Select the appropriate role e.g. Designer

Adjust the estimated hours as needed

Pricing by role


Roles have associated rates that are set on your rate card. When you assign hours to a role, the project will automatically use this rate to calculate costs. You can adjust the rate per job if necessary, and Streamtime will indicate whether your rate is higher or lower than your rate card, making pricing adjustments easier.
