Deleting or hibernating a team member

Here's what you need to know about deleting or hibernating Streamtime users

Updated over 2 months ago

๐Ÿ•ฐ๏ธ Est. Time: 5 minutes

๐ŸŽฏ Goal: Understand the difference between deleting and hibernating a user, and make an informed decision on which would be best

๐Ÿ”‘ Requirements: Access to "Team" & "User Permissions", which would allow for hibernation and deletion of users

Deleting or Hibernating - how do I decide?

In our industry, it's pretty standard for staff to change frequently, what with freelancers and consultants brought in for specific projects, not to mention our teams lives outside of work with maternity/paternity and long service leave for example. That's why we've made it easier to manage your team in Streamtime.

When it comes to removing team members, there are two options. 1. A clean break, deleting their account. 2. Take a temporary break and hibernate their account.

๐Ÿšถ๐Ÿฝโ€โ™€๏ธDelete Team Member

So it's over. We are never ever getting back together, like ever!

The first step in deleting a team member is to head to the Team Members section (โš™๏ธ > Team Members).

To initiate the break up, Search their name, then hit The Three Dots (โ‹ฎ) > Delete, then hit Delete to make it permanent.

Just to make it perfectly clear, this is permanent. You will not be able to drunk text them and bring them back. However, all their historical data, like time and expenses, will still be in the system to ensure all the correct $$ figures on jobs.

๐Ÿ˜ด Hibernation

Just need a break? That's ok. We all feel that way sometimes. But on a serious note, this is a handy feature. This way, all of the team members data is kept, but you aren't billed for them if you are on a pay-per-user plan. So when they come back, you need to reactivate their account. Really handy for freelancers/consultants and when permanent staff take an extended leave period.

๐Ÿ›Œ Hibernate User

The first step is to head to the Team Members section and, hit โš™๏ธ > Team Members.

To start your break, Search their name, then hit The Three Dots (โ‹ฎ) > ๐ŸŒ™ Hibernate, then hit Hibernate to set your boundaries.

๐Ÿ›๏ธ Reactivate User

So you have sorted your issues and wanna bring them back in? The first step is to head to the Team Members section and, hit โš™๏ธ > Team Members.

Hibernated team members won't show up at first, so we will need to add a filter. Hit the plus signโž• next to Filters on the right-hand side > select Status > and click the checkbox โœ… next to Hibernated.

To bring them back, hit The Three Dots (โ‹ฎ) > โ˜€๏ธ Re-activate, then hit Activate to set your boundaries. Just remember you were on a break. You can't hold it against them.

๐Ÿ’ธ Billing

If you are on a pay-per-user plan, you will be charged a prorated amount of that user's license fee. So if they come back and you have 12 days left in your billing cycle, you will only be billed for those 12 days.
