Do you have tasks that keep coming back, like that weekly client catch-up, or monthly progress report? Our Repeating To Dos feature is here to help save you time in setting these up! This article will guide you through the process of creating, editing, and managing repeating tasks.
➕ Creating a Repeating To Do
You can create a repeating To Do from any of these screens:
No matter which screen you choose, creating a repeating To Do is simple! Just follow these steps:
Give your To Do a title.
Assign team members. Use the add-person icon in the top-left to add people individually, or use branches and labels to add several at once. A repeating To Do needs at least one assignee — if you don't add anyone, it defaults to you.
Set the schedule. Under Repeats, choose how often — Weekly, Fortnightly, Monthly, Working day, Quarterly or Yearly — and when it ends: never, on a date, or after a set number. (Working day can't use a set number, since working days differ between people.)
Pick the work. Choose the job and item in What are you working on?, or switch on Personal. Set a duration — you'll see the remaining budget and deadline for the item as you go. When you're set, click Create.
Your repeating To Dos will be created in batches at a time. Streamtime does this in the background so that you can continue your work.
✍️ Editing a Repeating To Do
Need to tweak a repeating task? No worries! Keep in mind that actions like logging a To Do, dragging it across multiple days, resizing, moving, or re-assigning can split that occurrence off from the series. If a change would leave an occurrence incomplete, Streamtime checks in first — you can Continue, jump to Edit series, or Cancel.
To edit the whole series, click the 🔁 symbol on the Job Activity Log on the job screen. You can also open any single occurrence and click 🔁 button on the top right to jump to the series and make edits.
Make your changes and hit Save — Streamtime updates the instances in the background.
Opening a single occurrence (for example from your To Do screen) edits only that occurrence. The series is the separate 🔁 entry point above.
Select your Repeating To Do, make your edits and hit Save. Again, Streamtime will whirr away in the background making your updates to all the instances of your To Do, bit by bit.
‼️ Important Considerations
🔁 Future Date Syncs
To keep Streamtime running like a well-oiled machine, for those Repeating To Dos without an end date, we don't sync forever into the future (that'd kind of break the app!)
Depending on the frequency of your Repeating To Do, Streamtime will keep it synced in advance a set number of days. As time moves forward, we'll make sure to create To Dos in advance of 'today' so that you're always ahead of the game.
For working day repeats, To Dos will be created 30 days in advance.
For weekly and fortnightly repeats, To Dos will be created 90 days in advance.
For monthly, quarterly and yearly repeats, To Dos will be created 365 days in advance.
A Repeating To Do without an end date will display the date it's synced to at the bottom of the Repeat modal.
🖨️ Duplicating Jobs
Heads up! Duplicating a job won't copy its repeating To Dos. Keep this in mind when creating new jobs with similar tasks.
🚐 ❌ Moving or Deleting a Repeating To Do
When you move or delete a repeating task, Streamtime gives you a gentle reminder that it's part of a recurring series 🔄. This helps you avoid accidentally messing up the sequence.
