Connecting your Google Calendar with Streamtime natively

Integrate Google Calendar to seamlessly sync events to your To Do, link them to Jobs and account for their time.

You’ve got your To Do set up with your tasks for the week, but you’ve also got a bunch of meetings and events you need to account for. Good news — integrate your Google Calendar events to pull directly into your To Do, with any updates from calendar synced up, as if by magic.

🔗 Setting up your calendar


Head over to your integrations page and scroll till you see calendar integrations. Select Connect with Google. Select the email address of the calendar you want to connect.

📣 Important! Make sure you have checked the box to allow Streamtime to view all of your calendar events. If this box is not checked, Streamtime will not be able to sync the events your calendar.

Once you've connected, your calendar will pull through the next three months worth of events. This might take a little while. When it’s done, you’ll see your integrations tile update with the time your events are synced up till. The syncing happens constantly in the background, so you’ll always have your events pull through 3 months in advance, helping you plan for the future.

✏️ Refining your Calendar Settings


Click Settings if you need to adjust anything. You can rename your calendar, and you can also adjust how certain events pull through into Streamtime. You can set each of these event types to Always Create, Never Create, or Manually Create (where you’ll create or ignore each event individually over on your To Do page).

When created, All Day Events will create To Do’s for the full length of your working hours for the day, or 7 hours for a non-working day.

📖 Events on your To Do


Your events will appear on your To Do with a little icon that shows they've come in from your calendar integration. The start time of the event is pulled into the name of the To Do, and they'll come through automatically as Personal To Do's, unless you've automatically linked them to a job (see below for how to do so).

🤔 What if my events change?


If your event in Google Calendar changes date, duration or time, we’ll pull those changes through to your To Do in Streamtime — so long as the corresponding Streamtime To Do isn’t deleted or logged.

  • If the To Do is logged, that’s you telling us that time has been spent, so we don’t update any events where the corresponding To Do has been logged.

  • If you’ve deleted the To Do in Streamtime — say, it’s an event that has nothing to do with work — then we ignore any changes, and won’t pull through the event again.

A declined event in Google Calendar will not come through to Streamtime until you accept it.

🤖 Automatically linking a Google Calendar event to a Job in Streamtime


Meetings or events that are associated with a project can be easily linked to a Job in Streamtime through job number matching. Simply include the job number within square brackets in the title or description of your Google Calendar event, and Streamtime will scan your jobs for a match and automatically choose that job if it exists.

If you have multiple sets of square brackets in your event name or description, Streamtime will take the first set of square brackets and try and match that one, so make sure your job number is first.

🚨 Don't forget to select an item to assign to this To Do if it pertains to something in particular, otherwise the To Do will be logged to Extra Hours Tracked on the job.

🧑‍💻 How to manually create events


The events you set to Manually Create via Settings will appear on your To Do Screen by clicking the Google Calendar icon. From here, you can decide to add the event to your To Do, or dismiss them. If you’ve accidentally dismissed an event, don’t worry, you can still add it to your To Do — it’ll just appear in another category so you can keep them out of the way.
