It's easy to customise the way your quotes and invoices look in Streamtime is simple and flexible. You can adjust wording, hide or show elements, reorder line items, and control what your clients see, without changing the underlying job or invoice data.
✍️ Choosing what shows on your document
Once you've created a new quote or invoice, it becomes a standalone document, so any changes made here won't affect your job itself.
By default, you'll be taken to the Edit screen as soon as you hit the Create button.
On the right-hand side, you'll find three tabs:
Display: Use the checkboxes to show or hide elements across your document
Language: Rename sections to reflect your preferred wording
History: A running record of key events; sent, approved/paid, and edited
Editing text
Click into a field so the background turns grey, allowing you to make edits. Edit your text as needed, then click outside of the box to save.
Adding line items
To add line items, simply click the grey + icon on the far left, which opens up a menu allowing you to select what you want to include.
Adding an item from your job plan will pull through from your job itself (helpful if you had a recent change, so you don't have to create a whole new document).
Adding items or expenses will pull in the reusable templates set up in your master library.
Merging line items
Clicking on the Merge button on the black bar at the top of your document allows you to select multiple line items and combine them.
It's particularly helpful when you don't need to share granular detail with your client. For example, when working with third-party suppliers.
The merge feature will combine the descriptions and rates against the heading of the first line item that you select. You can then edit any of those details as needed.
Remember, this is a standalone document so it won't affect anything on the job plan itself.
Reordering line items
Clicking on the Reorder button in the black bar at the top allows you to change the order in which line items are displayed on your document. Select the eight dots against the line item you wish to move, click and hold your mouse, then drag the line item to its new location.
When you're done, hit Save.
Deleting line items
Hover over an item, and the delete button (trash can) appears on the right-hand side. Click on that to remove the entry from your document.
Remember, this is a standalone document so it won't affect anything on the job plan itself.
Terms & Conditions
Terms & Conditions (and Payment Terms on Invoices) can be set up and edited from the Settings Panel. You'll be able to choose to edit these for just this document or all future ones.
If you work with multiple branches, you can access all templates from Settings → Your Company → select the relevant branch → Default Messaging.
Adding links to external documents
You can add links to your documents using standard hyperlinks in the text fields. For example, linking to detailed Terms & Conditions, or to a payment portal.
Please note: links will work on a downloaded PDF, but won’t be clickable in Preview mode within your account.
📥 Changing the look and feel of the document
Within Streamtime itself, you can choose from 4 popular pre-built layouts, and a handful of fonts.
To access these, click on Preview and Send at the top of your quote or invoice, then choose the Style icon from the right sidebar (it looks like an artist's palette).
Big and Bold
A more distinctive way to showcase the project deliverables. It's neat but has a modern touch, and allows you to select your logo placement from 4 different locations.
Clean and Simple
An aesthetic and professional look that focuses on keeping things tidy. The overall look and feel is very minimalist.
Clean and Simple (Tracking) - invoices only
This gives you the same minimalist look as the above version, but you can also track the invoices to date for this job. You’re able to include the previously invoiced percentages per line item, as well as the fee summary information.
This template is particularly useful for architectural practices.
To The Point
Uses type hierarchy to differentiate between different levels of information. Useful if you want to call out phase totals more prominently than included item information.
🎨 Custom templates
If the four built‑in layouts don’t give you quite what you need, Custom Templates give you full control over how your documents look and feel. They use Twig and HTML, so they require the help of a developer.
Once a custom template has been set up and enabled on your account, you’ll be able to select it from the Style tab on the Preview and Send screen whenever you issue a quote or invoice.
Adding pay‑now style buttons
If you’d like to go further and add a “Pay now” style button, you can use Custom Templates, so long as the payment provider allows for this within their API. The above article will outline what your developer needs to know.
