Understanding email templates


Email templates help you save time and ensure consistent, professional communication when sending Quotes, Invoices, and Purchase Orders.

In Streamtime, you can set a default message per branch and document type.


Setting up templates

To create or update your default email message:

  1. Go to Branch Settings

  2. Select Quote, Invoice, or Purchase Order

  3. Enter your message in the template box

  4. Use dynamic fields to personalise the message

  5. Click Save

Your template will now be used as the default for all future emails sent from that branch.

Dynamic fields

Templates include dynamic fields; special placeholders that automatically pull in relevant information like a contact’s name, the total value of a quote, or your own details. This makes your emails feel personal and accurate without requiring manual input.

Here are some common dynamic fields you can use in your email templates:

  • {{contact_name|fallback}} – First name of the contact. Add a fallback word (e.g. “there”) if the name isn’t available.

  • {{quote_number}} – The number of the quote.

  • {{quote_total}} – The total value of the quote.

  • {{sender_first_name}} – Your first name.

  • {{sender_last_name}} – Your last name.

Using fallbacks

You can use a fallback word to keep your message smooth even when data isn’t available. For example: {{contact_name|there}} will show “there” if the contact’s first name isn’t filled in.

Add a call to action

Include a clear next step to help move things forward. A simple call to action, encourages a response, sets expectations, and keeps communication flowing.
