How to set-up tracking categories in Streamtime

Updated over a year ago

Tracking categories in Xero are utilised to give you an idea of how different areas of the business are performing. You might use them to track the profit of each project, department, cost centre, or location. If you use tracking categories in Xero you're able to take advantage of extended Xero integration and map them with appropriate job fields in Streamtime πŸ”₯

βš™οΈ Setup

You can only have two active tracking categories in Xero, but you probably already know that πŸ˜‰ When your Streamtime & Xero integration is set up, the tracking categories will be available for use.

The tracking category settings can be found within the Integrations Page under each Xero Connection. Head to Integrations > Edit Connection to open a modal as such πŸ‘‡

You can now select a Streamtime field to link to your tracking category in Xero. The fields available for selection are Branch, Job Number & Job PO number.

Once saved, we'll ensure the Streamtime fields selected will be mapped with the appropriate categories in Xero when copied across.

πŸ’πŸΎβ€β™€οΈ How it works

Once your tracking categories settings are updated, you can copy expenses, Purchase Orders and Invoices across to Xero and we will ensure that the Streamtime fields are mapped with the appropriate categories in Xero. Once you click "Send to Xero", you will notice the fields in Xero will be populated with the selected fields in Streamtime, as below.

Expenses

Purchase Orders

Invoices

βœ… Keep in mind

  • You can't send two Streamtime fields to the same tracking category

  • You're able to allocate one Streamtime field to multiple tracking categories if you wish

  • If you do not have the tracking categories functionality currently ON in Xero, you won't be able to take advantage of it in Streamtime.
