How to manage non-billable / internal time

Keen to know how much time gets spent on admin? No problem. This article explains how to plan, track, and report on non-billable time.

Streamtime makes it easy to track every bit of your time, even when it isn't billable.

If you need to take on a non-billable task or internal project, there are a few ways you can manage this in Streamtime: by either creating non-billable Items, non-billable Jobs, or using labels.

⚽️ Non-billable Items


Say you've got a job that you need to spend time on preparing a proposal or quote. You want to track this time, but you can't bill it. Simple. Streamtime allows you to set the billable status of an item using the 3-dot menu.

You can then price your item in the same three core ways (item rate, by person, or fixed rate). The hours you plan and log on a non-billable item will be included in the Time (H) on the job, but because it's non-billable, the financial values of the time on that time — Time ($) aren't. You'll see the total greyed out, but it won't add to your Phase or Job totals.

This means you can track your time on a non-billable item with or without a sell rate, without inadvertently affecting your figures.

Hang on... why would I want to log non-billable time with a sell rate?

Sounds unintuitive? Perhaps! However, you might want to track the investment value or the potential sell value of the time you've spent. Time you could have charged for, or time you might be donating to your love jobs / favourite clients. For example: "We spent $1,500 of extra time on that additional scope — we'll know to charge more next time."

🥅 Non-billable Jobs


Maybe you're tracking an internal project — where none of the items will be billed to a customer. Create a non-billable job, where all items will be non-billable items.

By default, all jobs are billable, however you can set the job to be non-billable on creation.

You'll see this indicated in the black header bar of your job, and on your jobs list. It means there will be no Time ($) value tracked at all.

If you change the status of one of the items on your job to billable, or send an invoice from a non-billable job, we'll change the job status to billable.

Set the billable status of the job on creation using the toggle, or change between Billable and Non-billable through the 3-dot menu on either the job or the jobs list.

🏷️ Using Labels for Non-billable work


You might have different types of non-billability (yep, just made up a new word), and categorise further. You can use labels to define and sort why certain jobs are non-billable if you so wish. That way, you can keep all of your hours accountable and organised. This is useful for specific types of work — for example, you may have internal projects, or a commitment to spend a certain amount of time on charity work.

📊 Reporting on Non-billable Time


Non-billable status relates to Items or Jobs, as we've described above, however you can use the power of the Jobs List, Time List, or WIP Report to report on Non-billable time.

⏱️ Time List Reports

Find your total non-billable time in hours or financial value using the Time List. By default, we show both Billable and Non-billable time, but you can filter either of these out (or show both).

💼 Jobs List Reports

You can filter the Jobs List to show All Jobs, only Billable Jobs or only Non-billable Jobs. Note that for Non-billable Jobs, Streamtime does not display the financial value of Time spent, so your Time ($) columns will show $0.00. Never fear... specific Non-billable columns to show the value of non-billable time on Billable jobs is coming soon. In the meantime, you can get these figures via the the Used/Time modal on the job, or the Time List (as described above).

🏗️ WIP Report

Your WIP Report will exclude Non-billable Jobs and Items by default. However, you can include them using the Billable filter if you want to see their value.
