βš™οΈ Setting up your board


First, navigate to Priorities in your menu.

Now create a new board.

Give this board the name of the project you'll use to manage.

Ready to organise your columns? We have some recommendations, but you're welcome to choose names that suit you. We've categorised them into two main types: Information columns and Progress columns. Don't worry, we'll explain how to utilise them later in this article.


Information Columns

  • Project Resources

  • Next Meeting Agenda

Progress Columns

  • To Do

  • In Progress

  • On Hold

  • Blocked

  • Done

Next, we'll run through which cards you might want to add into each column and why.

ℹ️ Information Columns


Let's get organised with your Information columns. This is where you'll keep all the essential details about the job. You'll be using two main cards:

  • Job Card

  • Note Card.

Let's get your Project Resources sorted. This column will serve as your central hub for all vital job information. You'll be using two main cards to keep everything organised: the Job Card and the Note Card. These cards will help you keep track of key details and ensure everything is neat and orderly.

πŸ“Œ Job Card

The first card to add to this column is the Job Card for the specific job you're focusing on. This card serves as your central point for viewing job labels, identifying the team involved, and monitoring the total expenditure compared to what was planned or budgeted. It'll also display the start and end dates for the job. Essentially, it's your one-stop shop for keeping tabs on the job at hand.πŸ’‘

Make sure you have all of the necessary criteria switched on in the Card Options.

πŸ—’οΈ Note Card

Next, it's time to introduce Note Cards into the Project Resources column. Feel free to add as many as you need, based on your project requirements. These cards are highly versatile and can serve multiple purposes, from providing a job summary or brief to linking to job files stored in Dropbox or Drive. Keeping everything in one location certainly simplifies matters.

The Project Resources column is your ideal location for monitoring what's needed for upcoming meetings or milestones. A Note Card is invaluable here, allowing you to create a checklist of essentials. This ensures you're always well-prepared and eliminates any last-minute scrambles for crucial items.

πŸƒβ€β™‚οΈ Progress Columns


The Progress columns are where you'll manage the core of the job's tracking. This is where you'll monitor progress and make sure everything stays on course. These columns will consist of a mix of Item and Note Cards, depending on your needs. Let's explore what you'll be working with.

To Do βœ… β€” work that needs to be done

In Progress 🚧 β€” work that's currently being done

On Hold ⏰ β€” work that's waiting to move forward

Blocked πŸ›‘ β€” work that can't be done for some reason

Done πŸŽ‰ β€” work that's been completed


At the outset of the project, all job items should be entered as cards in the To Do column. As the job advances, you'll shift these cards through the columns in a well-managed fashion. And remember, you can also incorporate Note Cards with checklists to ensure nothing gets overlooked.

Here's a useful tip to keep things exceptionally organised. Adding Totals to the bottom of the Progress columns is an excellent way to monitor your progress and ensure everything remains on course. This will give you a clear view of your standing at each stage and allow you to see if you're under or over on completed tasks. Having all this information in one place simplifies project management considerably.

Once your project board is set up, it will act as your control centre for overseeing and managing the project. You'll have all you need in one location, making it easier to stay on top of things and ensure the project's success. Feel free to put it to the test.

🎯 Create Tasks

You can assign tasks to your team members and log time right from your project board. Simply flip a Job or Item Card and create a To Do. Input all the necessary details about the task and designate the team member responsible for it. From there, you can opt to create the task, log it, or initiate time tracking.

🧾 Create Quotes, Expenses, and Invoices.

Ready to get your finances in order? Use the Job Card in the Project Resources column to create quotes, track expenses, and issue invoices for the job. Everything you need is neatly organized in one spot. No more scattered financial data, just clear and efficient management.

πŸ“– Open the job plan

Would you like to take a closer look at the job plan? Simply click on the job name, and you'll find everything you need conveniently at your fingertips. No need to worry about getting lost; it's all well-organised for you.

Your project board is set up. Now it's time to get those projects underway.

You can also monitor your project's finances using the Priorities boards. Simply add your quote to the Project Resources column and switch its total to Approved Quotes.

Additionally, you can monitor your invoicing as items transition into the Done column. It's akin to having a personal finance department integrated into your project management tool.
