Items List View: Quick Start Guide

See every item across all your jobs in one filterable list. Review planned vs used, quoted vs invoiced, and profit by item, without opening a single job.

🎯 Goal: Understand what the Items list view shows and how to use it to track delivery, billing, and item-level profitability across jobs
🔑 Requirements: View Jobs access to see the list, cost rate / financial access to see money columns (cost, sell, profit, margin)

The Items tab is a new list view that sits alongside Groups, Jobs, Time, Expenses, Invoices, and Quotes. You can pull every item across multiple jobs into one list and see their names, values, and statuses side by side.


📋 What the Items list view is for

The Items list view allows you to compare items with the same name across all jobs from one centralised place. You can see all your items in one area, without having to visit individual jobs.

Each item carries dates, assigned team members, planned and used time (in both hours and financial currency), a status, and sometimes, links to quotes and invoices. The Items list surfaces all of that, so you can answer questions like:

  • How much of each item's budget have we used?

  • Which items are ready to invoice, and for how much?

  • What's our profit margin by item, across the whole studio?

  • Does what we've quoted line up with what we've invoiced?

  • Which items are more profitable than others?

It behaves like every other list view in its interaction: filtering and viewing columns behaves the same. For an overview on how to work with the list views overall, including how to save favourites, share favourites, add and remove filters and columns, head here.


💰 The Item list columns worth knowing

The Items list is where item-level financials come together. The most useful groups:

  • Delivery and Tracking: planned and used time and sell, plus remaining sell. Shows how much of each item you've burned through.

  • Quoting and Invoicing: Various columns denoting quoting and invoicing value, invoiced percentage, and balance to invoice. Shows what's been billed against each item and what's left.

  • Profitability: item profit and item profit margin, so you can read margin at the item level, not just the job level.

  • Linked quotes and invoices: the quotes and invoices connected to each item.


🔗 Linked quotes and linked invoices

Two columns (Linked Quotes and Linked Invoices) show the quotes and invoices connected to each item, each with a running total. Hover to see the list, and click through to open any individual quote or invoice. Because both are number-based, their totals roll up to the group level and to the grand total in the footer.

This is what makes reconciliation possible in a single view. Show comparison columns such as quoted vs invoiced and you can spot, item by item, where what you've quoted and what you've billed don't line up. Review also what you’ve invoiced vs which invoices are linked, and you can see any irregularities in your Streamtime setup.


🧾 Using it to review a milestone invoice

Before raising a milestone invoice, you want to confirm you've delivered enough value to justify the next installment. You can check how much of an item has been burnt through in the Items list:

  1. Filter to the job (or jobs) you're billing.

  2. Add planned sell, used sell, and remaining sell columns.

  3. Compare planned vs used per item to see what's actually been delivered.

  4. Add invoiced value and balance to invoice to see what's already billed and what's outstanding.

Save it as a favourite and you can pull the same check up for every milestone.


⚠️ How date filters affect what you see

Money figures on the Items list show the total value against each item, not the value within a date range. If you add an invoice date filter, it changes which items appear in the list, but the invoiced figure shown is still the total invoiced against that item, not the amount invoiced during that period. This is intended: the list reports item totals, not movements within a period.

For revenue broken down by period, say, invoice revenue by item name this quarter, use the Reporting module, which is built to total invoice line items across a date range.
