Two-Factor Authentication (2FA)

A second layer of security to protect your data.

🔑 Requirements: Two-factor authentication must be enabled

🔎 What is 2FA?


Two-Factor Authentication (2FA) adds an extra step when signing in:

  1. Your password, plus

  2. A 6-digit code from an authenticator app

Even if someone gets your password, they can’t access your account without that code. That means, your Streamtime data stays protected!

👉 2FA is now an industry standard.

From 30 June 2024, it became mandatory for organisations connected to external accounting packages (like Xero and QuickBooks). Streamtime follows these requirements to help keep your data secure.

⚙️ Enabling 2FA for your company


Only those with access to Admin: Your Company settings can enable 2FA. When doing so, they'll be able to choose whether to require it for:

  • Everyone in the company, or

  • Only team members with View Financial access

To enable 2FA, go to Settings > Your Company and click Enable Two-Factor Authentication.

Team members in the selected group will be prompted to set up 2FA the next time they log in.

Team members who are not part of the selected group or do not have "View Financial access" will not be required to set up 2FA.

You can update this anytime from individual profiles.

👩‍💻 Setting up 2FA on an individual profile


Team members don’t need to do anything until 2FA has been enabled. Once that’s done, you’ll be prompted to set up 2FA the next time you log in.

When prompted:

  1. Open an authenticator app such as Google Authenticator or Authy

  2. Scan the QR code shown in Streamtime

  3. Enter the 6-digit code from the authenticator app and click Sign in

Saving your recovery code

Save your recovery code somewhere safe, like a password manager (e.g. Google Password Manager, LastPass or 1Password ).

You’ll need it if you ever lose access to your phone or authenticator app.

📱 Which apps can I use?


To use 2FA, you’ll need an authenticator app. These apps generate the 6-digit code you’ll enter when logging in, and they work offline.

Popular free options include:

These apps use a secure standard called TOTP (Time-based One-Time Password). That simply means they create a new code every 30 seconds, only your app and Streamtime know the secret key that makes it work.

No phone? You can also use desktop authenticators, such as the desktop version of LastPass.

🛠️ Troubleshooting


Here’s how to solve the most common issues with 2FA.

Can't log in?

If you can’t log in, it usually means 2FA setup wasn’t finished.

Complete setup from a desktop browser first. Once done, you’ll be able to log in via either your desktop or the iOS app.

Lost your phone or authenticator app?

If you lose access to your phone or authenticator app, your recovery code acts as your backup key. This is the code you were given when you first set up your 2FA (we recommended saving this safely, in case that helps trigger where to look).

How to use your recovery code

If you’ve lost access to your authenticator app, the recovery code is your backup key. Enter it when prompted at login (see screenshot below).

Reset your password to generate a new QR code, then set up 2FA again.

Need your 2FA reset?

Ask your account subscriber to reset your 2FA from your profile (reset button sits at the bottom of the page, under Permissions).

Still stuck?

If the reset option isn’t available, or your Subscriber isn’t around, reach out to Streamtime Support (via the “?” in your account or by email).

For security, we’ll ask you to confirm 2 of these details before resetting 2FA:

  • The name of a recent job

  • The number of users in your account

  • A recent To Do (job, person, date)
