Handling Peppol E-Invoicing

What's Peppol?


Peppol, short for Pan-European Public Procurement Online, is a standardised framework that enables businesses to securely exchange e-invoices and other electronic documents across borders.

As more governments and organisations adopt Peppol as the preferred standard, using it can help your business stay compliant with evolving regulations and maintain a competitive edge in global markets.

By using Peppol for e-invoicing, you can minimise manual administrative tasks, reduce the risk of data entry errors and accelerate payment processing.

Setting up Peppol IDs


To send or receive e-invoices, both your organisation and your clients need a unique Peppol ID (also called a Participant ID). Think of it like an email address that identifies who’s sending or receiving invoices through the network.

Your Peppol ID

Once e-invoicing functionality (Beta) has been added to your account, head to Your Company page > Branches to check the Branch's participant ID for (e-invoicing). A Participant ID is required for your organisation to be able to send and receive e-invoices.

💡 A Participant ID (also called a Peppol ID) is a unique electronic ID that identifies the business or organisation within the Peppol network. Think of it like an email address - it tells the network who the sender or receiver of an invoice is and where to deliver it.

For certain countries, Streamtime is able to "assume" what the Peppol ID for an organisation is using the country code with the tax number of the organisation. However, if you're already registered in the Peppol network, it's best to check if the number is correct and update it, if needed.

Client Peppol IDs

A Peppol ID should also be set for each Company (client) in Streamtime in order to be able to send them e-invoices. Use the Participant Lookup within Streamtime to find the company's Peppol ID within the Peppol Directory, or you can search the public directory. However, if a Client has provided you their ID directly, you can use 'Manual Entry' to enter it in.

Sending e-Invoices


Once everything is set up, you’re ready to send your first e-invoice from Streamtime!

  1. Create your invoice as usual.

  2. Go to Preview & Send.

  3. Choose the E-Invoice option instead of Email.

  4. Confirm that the Participant ID is correct, or add it if missing.

  5. Click Send.

Your invoice will be delivered securely through the Peppol network for processing. Once successfully delivered, it will appear in your customer's accounting system as both raw data and the visual format you see in Streamtime.

If an invoice fails to send, the sender will receive an email from Streamtime with details about why it failed and instructions to resolve the issue. The invoice will also revert to draft as long as it wasn't also sent as an email to your customer.
